Job Summary

The Office Assistant at GMG plays a vital role in ensuring the smooth day-to-day functioning of office operations. The position involves handling administrative duties, coordinating deliveries, managing office supplies, and providing general support to staff. You will be responsible for maintaining accurate records, facilitating the flow of paperwork, and ensuring that all office activities run efficiently.

Key Responsibilities

As an Office Assistant at GMG, your daily tasks will include a wide range of office support and coordination duties such as:

  1. Performing clerical duties such as typing, photocopying, mailing, and filing.
  2. Monitoring and maintaining stock levels of pantry items and office essentials.
  3. Ensuring timely replenishment of supplies and maintaining inventory records.
  4. Collecting, distributing, and dispatching payment vouchers, letters, bills, and couriers.
  5. Assisting in the supply, setup, and maintenance of office equipment.
  6. Managing filing systems and ensuring document control for easy retrieval.
  7. Entering and updating data to maintain internal files and databases.
  8. Coordinating incoming and outgoing courier services and tracking deliveries.
  9. Maintaining confidentiality of sensitive information and documents.
  10. Addressing and resolving office-related queries from staff.
  11. Supporting office operations by ensuring smooth coordination between departments.
  12. Assisting in various administrative projects and ensuring deadlines are met.

Requirements

To qualify for this position, candidates should meet the following basic requirements:

  • Education: High school diploma or equivalent qualification.
  • Experience: Minimum of 1–3 years of experience in an administrative or office assistant role.
  • Language: Basic proficiency in English (both written and spoken).
  • Knowledge: Familiarity with basic office tools and communication systems.
